Senior Project Manager Event and Participant Management (m/f/x)

As Senior Project Manager Event and Participant Management (m/f/x) you are responsible for the conception, planning and implementation of analog, virtual and hybrid events with a focus on participant management. You are in direct contact with customers and are responsible for their proactive and competent consulting and support. You plan events and set up event-specific participant management systems, calculate costs and monitor budgets. The maintenance and validation of data is easy for you. At the end of the day, you will support events on-site and ensure that everything runs smoothly together with your project team and the trades under your control.   • You are primarily responsible for planning, executing and following up on analog, virtual and hybrid events
  • You advise customers and end customers as the first point of contact and support them in maintaining existing customers
  • You communicate the individual project requirements, milestones and goals to the stakeholders and keep an eye on all timings at all times
  • You calculate project-related budgets, negotiate them with the customer and ensure that they are adhered to 
  • You are responsible for commissioning, managing and negotiating with service providers 
  • You are responsible for participant support at the event and thus contribute to a successful experience for the participants
  • You take over the interface management between other units, such as creation, architecture or driving service 
  • You design presentations, offers and cost calculations, control the budget planning for ongoing projects and create reports and evaluations
  • You manage pitch teams, participate in them and present them to the customer


  • You have completed training or a degree (preferably in the field of event management, marketing, tourism, business administration or similar)
  • You can look back on 5 years of professional experience at an agency and/or company in a comparable field (event, guest and/or project management)
  • You have very good knowledge in the field of participant management and are experienced in the use of guest management tools 
  • You have a structured, solution-oriented way of working, even under time pressure, as well as a high degree of initiative, personal responsibility and the ability to work as part of a team
  • You have first experiences in leading a project team
  • You are characterized by a convincing appearance and a high willingness to travel
  • You are eloquent, enthusiastic, have a hands-on mentality, enjoy customer contact and communicate with all stakeholders at eye level
  • You have a strong service orientation and a very good command of written and spoken English
  • You have a sound knowledge of MS Office products and are generally IT-savvy
